Terms of Service

1. Acceptance of Terms

These Terms of Service ("Terms") form a legal agreement between you ("you", "the user") and Staff Rota Manager ("we", "us", "our"). By installing, accessing, or using the Staff Rota Manager add-on ("the Service"), you agree to be bound by these Terms and by our Privacy Policy. If you do not agree, do not use the Service.

2. Description of the Service

Staff Rota Manager is a Google Workspace add-on that runs inside Google Sheets and helps you generate monthly staff rotas, log absences, produce absence reports, apply shift patterns, and create optional backups in your own Google Drive. The Service operates within your Google account and your rota data remains in your Google Sheets.

3. Subscriptions, Billing & Free Trial

• Free trial: New users receive a 7-day free trial. No payment card is required to begin the trial.
• Price: After the trial, continued use requires a paid subscription of £5.99 per month (including any applicable taxes unless stated otherwise).
• Payment processor: Payments are processed securely by Stripe. We do not store your card details. See our Privacy Policy for details.
• Automatic renewal: Subscriptions renew automatically each month until cancelled.
• Cancellation: You may cancel at any time through the Stripe Customer Portal. Your access continues until the end of the current billing period.

4. Refunds

• You will not be charged if you cancel during the 7-day free trial.
• Subscription fees are non-refundable for partial billing periods. When you cancel, you retain access until the end of the period you have already paid for.
• If a payment fails, Stripe may retry automatically; your subscription may be cancelled if payment cannot be collected.

5. Acceptable Use

You agree not to:

• Use the Service for any unlawful purpose or in breach of any applicable law or regulation;
• Attempt to reverse engineer, resell, sublicense, or redistribute the Service except as permitted by law;
• Interfere with, disrupt, or attempt to gain unauthorised access to the Service or related systems;
• Use the Service in a way that could damage, disable, or impair it or infringe the rights of others.

6. Your Data

You retain ownership of all data you enter into your Google Sheets. The Service accesses only the permissions described on the OAuth consent screen and in our Privacy Policy, and only for the purpose of providing the Service. You are responsible for maintaining your own backups of important data.

7. Availability & "As Is" Disclaimer

The Service is provided on an "as is" and "as available" basis. We do not warrant that the Service will be uninterrupted, error-free, or that it will meet your specific requirements. The Service depends on Google Workspace and Stripe, and we are not responsible for outages or changes to those third-party platforms.

8. Limitation of Liability

To the fullest extent permitted by law, we shall not be liable for any indirect, incidental, special, consequential, or punitive damages, or any loss of data, profits, or revenue, arising from or in connection with your use of the Service. Our total liability for any claim relating to the Service shall not exceed the amount you paid to us in the 12 months preceding the claim. Nothing in these Terms excludes or limits liability that cannot be excluded or limited under applicable law.

9. Changes to the Service or Terms

We may update the Service or these Terms from time to time. When we make material changes to these Terms, we will update the "Last Updated" date above. Your continued use of the Service after changes take effect constitutes acceptance of the updated Terms.

10. Termination

You may stop using the Service at any time by cancelling your subscription and removing the add-on from your Google account. We may suspend or terminate access if you breach these Terms or if required to do so by law or by Google's or Stripe's policies.

11. Governing Law

These Terms are governed by the laws of England and Wales, and any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales, without prejudice to any mandatory consumer protection rights you may have in your country of residence.
